Recording Secretary -- Board of Finance

The Recording Secretary performs a wide range of duties that insure that meetings and transactions of Town Boards and Commissions are legally announced, recorded, and filed.  The Recording Secretary also may be tasked by the respective Board or Commission with additional relevant duties such as the compilation and copying of documents for distribution, the forwarding of received communication, etc.

A minimum of two years’ experience in administration, office/clerical work or a related field is required.

Depending on the respective Board/Commission’s needs and its meeting schedule, this position requires an average of 3-6 hours per week.

Duties/Responsibilities:

  • Attend all meetings of the respective Board/Commission, including special, weekend and night meetings as scheduled.
  • Circulate all received correspondence and documents to the respective Commission and relevant parties, as requested
  • Prepare and post Agendas for all meetings
  • Record and transcribe minutes of all meetings, filing them within the appropriate time limit to appropriate parties and disseminating them to Board/Commission members
  • Maintain files of all written materials including agendas, minutes, correspondence sent/received, and reports of the Board/Commission.
  • Maintain up-to-date list of Board/Commission members, their term limits, and their contact information
  • Other duties as assigned

Knowledge, Skills, and Abilities:

  • Knowledge of office procedures including accurate and timely filing, scheduling, and the taking and transcribing of minutes
  • Knowledge of municipal government administration, and the general functioning of Boards and Commissions
  • Specific familiarization with the subject matter dealt with in the respective Board/Commission highly desirable
  • High proficiency in word processing and spreadsheet applications, as well as email/internet use
  • Attention to detail; ability to follow verbal and written instructions
  • Ability to acquire a working knowledge of laws, regulations and procedures pertaining to the respective Board/Commission, including the Freedom of Information Act
